AI Usage and Responsible AI Policy

BridgeFlow designs and implements AI employees, intelligent workflows, voice AI, and business systems for service businesses. This policy explains how BridgeFlow approaches AI use and the responsibilities that apply when AI is part of a website, internal workflow, or client implementation.
This policy supplements the Terms of Service and Privacy Policy. Project-specific requirements control where the applicable written project documentation contains more detail.
Terminology
- BridgeFlow means the business operating under the BridgeFlow name until the formal legal entity is identified.
- Client means a person or business that requests or receives BridgeFlow Services.
- Services means BridgeFlow's AI implementation, productized AI, custom development, workflow automation, and related implementation services.
- AI Services means Services that use AI models, AI agents, voice AI, or AI-assisted workflows.
- Deliverables means client-specific outputs expressly identified in applicable project documentation.
- Third-Party Providers means external providers used by BridgeFlow or a Client for hosting, booking, payment, automation, AI, CRM, communication, storage, or other project functions.
1. BridgeFlow's AI-first service model
BridgeFlow uses AI to help businesses:
- Eliminate repetitive work.
- Respond faster to customers and prospects.
- Recover missed opportunities.
- Improve operational efficiency.
- Build internal knowledge systems.
- Connect business tools through workflow automation.
- Make better use of human time and judgment.
BridgeFlow provides productized AI solutions and custom AI projects. Technology is selected to solve a defined operational problem, not to add AI for its own sake.
2. How BridgeFlow may use AI
Depending on the agreed project, AI may assist with:
- Voice and conversational interactions.
- Lead qualification and routing.
- Follow-up drafting or delivery.
- Document extraction, classification, and validation.
- Internal search and knowledge retrieval.
- Customer-review requests and operational messages.
- Missed-call recovery.
- CRM updates and workflow decisions.
- Content, summaries, recommendations, or administrative preparation.
The exact workflow, model, data sources, integrations, and human approvals should be documented in the applicable project materials.
3. AI limitations
AI systems can:
- Produce inaccurate, incomplete, outdated, or misleading outputs.
- Misinterpret a question, document, call, or instruction.
- Fail to recognize missing context.
- Behave differently when models, prompts, data, providers, or integrations change.
- Experience latency, outages, rate limits, or other third-party failures.
AI outputs may be inaccurate, incomplete, outdated, or misleading.
AI performance is not guaranteed. A result that appears confident may still be wrong.
4. Human review
AI assists humans; it does not replace human judgment.
Human review is recommended before relying on AI outputs for:
- Financial commitments or financial decisions.
- Legal or contractual decisions.
- Medical, health, or safety decisions.
- Employment, eligibility, or access decisions.
- Customer complaints or sensitive communications.
- Compliance, security, or incident response.
- Any decision with significant business or personal consequences.
BridgeFlow is not responsible for business decisions made solely from AI-generated outputs.
5. Client responsibilities
Clients are responsible for:
- Providing lawful instructions and data.
- Confirming they have the right to use the data, content, recordings, documents, and credentials provided to BridgeFlow.
- Reviewing proposed automation behavior and approval points.
- Configuring business rules, escalation paths, and human-review requirements.
- Monitoring delivered workflows after launch.
- Checking outputs before using them for business-critical decisions.
- Complying with laws and third-party provider terms relevant to their industry and communications.
Clients should not use an AI workflow for a high-impact decision without suitable human oversight and testing.
6. Data privacy and confidential information
AI processing may involve project data being sent to Third-Party Providers, including model, automation, CRM, storage, communication, calendar, or hosting providers. The providers used for a project should be identified and configured according to the project's requirements.
Clients should not provide unnecessary sensitive information. Data handling, access, retention, deletion, and model-use requirements should be recorded in the applicable written project documentation.
BridgeFlow does not publish client work or client-specific outputs without written permission.
7. Third-party AI providers
BridgeFlow may use Third-Party Providers for AI, including OpenAI, Google, Anthropic, or another provider appropriate for the project. Provider availability, model behavior, pricing, limits, terms, and data practices may change.
Where practical, BridgeFlow may configure Client-owned Third-Party Provider accounts or transfer ownership of provisioned accounts to the Client. The Client remains responsible for the account and provider relationship after transfer.
Third-Party Provider terms apply to the provider's Services. BridgeFlow cannot guarantee the availability or behavior of a third-party model.
8. Hallucinations and accuracy
An AI hallucination is an output that appears plausible but is unsupported, incorrect, or fabricated. Hallucinations may occur in text, voice, summaries, classifications, extracted fields, recommendations, or workflow decisions.
BridgeFlow may use testing, validation rules, source citations, confidence thresholds, escalation paths, and human review to reduce risk where appropriate. These controls reduce risk but do not eliminate it.
9. Ethical AI use
BridgeFlow aims to implement AI in ways that are:
- Practical and connected to a real business need.
- Transparent enough for responsible human oversight.
- Proportionate to the risk of the workflow.
- Respectful of privacy, confidentiality, and user expectations.
- Designed to support people rather than remove necessary judgment.
- Monitored and improved when failures or unexpected behavior are found.
BridgeFlow will not knowingly design a workflow for fraud, impersonation, unlawful surveillance, harassment, malicious activity, or unlawful processing of personal information.
10. Testing and change management
Before launch, BridgeFlow may test agreed workflows against representative inputs and expected outcomes. Testing depends on the information, access, examples, and acceptance criteria provided by the client.
After launch, model updates, provider changes, new data, changed business rules, and integration changes may affect behavior. Clients should review important workflows periodically and report unexpected outputs to BridgeFlow.
