After-Hours and Missed Calls: The Leak Nobody Measures
What happens to booking rates outside business hours, and how often calls go unanswered in the first place — based on published call-tracking and industry data.
Executive Summary
Two related but distinct problems sit inside this leak: calls that come in and simply aren't answered, and calls that come in outside business hours, when there's often no one to answer at all. A 2016 study that monitored 85 small businesses across 58 industries for 30 days found only 37.8% of calls were answered by a live person — the rest went to voicemail or got no response whatsoever. A much larger 2022 dataset from ServiceTitan, covering more than 3,000 trade businesses, showed what happens specifically after hours: average call-to-booking rates that sit around 42% during the day fall by more than half after 6pm, and even further for smaller businesses.
How Often Calls Actually Get Answered
411 Locals monitored incoming calls to 85 businesses across 58 industries over a 30-day period. The results: 37.8% of calls were answered live, 37.8% were forwarded to voicemail, and 24.3% got no response of any kind. Separately, the study found 70% of the businesses monitored answered less than half of their incoming calls. The study is small and dates to 2016, but the pattern it describes — a live person answering roughly a third of the time — is one that later, larger studies in adjacent categories (see our leads nobody calls report) continue to find, even as the exact numbers vary.
What Happens Specifically After Hours
The clearest data on the after-hours gap comes from ServiceTitan, which analyzed call and booking data from more than 3,000 trade businesses across the US and Canada. As of their 2022 report, the average call-to-booking rate across all businesses was 42% during typical hours. That rate wasn't stable across the day — for larger businesses (25+ technicians), booking rates ran as high as 61% during peak hours and fell to 21% after 6pm. For smaller shops (fewer than 5 technicians), the swing was smaller in absolute terms but proportionally similar: 26% during peak hours, down to 9% after 6pm.
Separately, a 2024 secret-shopper study of 500 law firms (Clio's Legal Trends Report, run by research firm Lux) found 48% of firms were essentially unreachable by phone when tested with a realistic client enquiry — a number that reflects both missed calls during business hours and the absence of any coverage outside them.
Why This Leak Is Easy to Miss
Missed calls and after-hours calls are unusual among revenue leaks because they're structurally invisible. A slow email reply still shows up in a sent folder; a missed call, by definition, usually doesn't generate a record at all unless the business has call tracking in place. That makes it easy for a leadership team to assume the gap is small, simply because nothing about it is visible day to day — right up until someone actually measures it.
What This Means, Not What It Promises
